Administrative Assistant / Director's Assistant

Job Summary
The Administrative Assistant / Director's Assistant acts in the framework of the existing ISTC policies and procedures in accordance with the ISTC Agreement and Statute as well as with the Governing Board decisions.
The Assistant provides clerical and organizational support to ensure the efficient operation of the office. This role supports Executive Director, Deputy Executive Director and employees through a variety of tasks related to communication, scheduling, record-keeping, and general office management.
Key Responsibilities
- Answer and direct phone calls, emails, and other correspondence
- Schedule meetings, appointments, and manage calendars for leadership
- Prepare reports, presentations, and meeting minutes
- Maintain filing systems (electronic and physical)
- Order office and kitchen supplies
- Coordinate travel arrangements and itineraries for the management
- Greet and assist visitors
- Translate letters / correspondence in English and Kazakh
- Assist with database management and data entry
- Prepare letters /Note Verbals to MFA, MHES, Embassies, International agencies, etc.
- Register incoming / outgoing letters
- Prepare Delegation of Authority for staff
- Coordinate driver’s schedule
- Submit AOB PRF's / AOB RFP's
- Obtain Visa support for new arriving expat colleagues including submitting documents for getting Service cards and IIN
- Check and forward emails to colleagues from the general ISTC mailbox
- Support events / missions / projects as assigned
- Maintain confidentiality of sensitive information
- Carry out other duties and responsibilities as may be required and advised by the management.
Qualifications
- Bachelor’s degree
- 1-3 years of experience as an administrative assistant or in a similar role
- Proficiency in Microsoft Office (Word, Excel, PowerPoint)
- Strong written and verbal communication skills
- Excellent organizational and time-management abilities
- Attention to detail and problem-solving skills
- Fluent English, Kazakh and Russian are prerequisites
- Ability to multitask and prioritize workload

Junior Accountant - (JA)
Temporary – Maternity Replacement
Service Contract
1. General Description of the Position
Under guidelines of Chief Financial Officer performs the Junior Accountant responsibilities within the Finance Office.
2. Reporting
The JA reports to the Chief Finance Officer.
3. Duties (Principle Accountabilities)

In coordination with the Chief Financial Officer carry out the financial operations of ISTC programs and projects related to Grants, travel requests, Account payables, Various reconciliations.

Prepare the financial reporting on a monthly/quarterly/ annual basis in accordance with the ISTC’s internal policies and procedures and international accounting standards.

Performs other duties as assigned by the Chief Financial Officer.
4. Authority
The JA works under the authority of the Chief Financial Officer.
5. Qualification Requirements

Higher Education – Finance Accounting - 1-2 years of Accounting experience;

Detailed oriented and well organized;

Ability to manage multi task;

Working English and advance computer/office skills;
